Missions Associate: Executive Support & Management

Are you highly organized and personable with the ability to drive processes and help manage teams?  Do you thrive in a support position that will own administrative tasks and provide daily, clear communication? Do you have a high attention to detail and a passion for Jesus and living on Mission? We’re looking for someone with those skills and more.

What you’ll be doing:

Executive Admin Support

  • Scheduling- team meetings, facility care, room reservations, catering, etc.
  • Communications (email)- Manage SE Missions Director email inbox, manage standard processes
  • Calendar- Manage SE Missions Director calendar, manage meeting requests, etc.
  • Phone- Manage calls/manage voice mails
  • Financial Management- Expense reports and ordering supplies
  • Travel- Manage travel arrangements and expenses
  • Document Support-  Document creation/editing/reviews
  • Church Elder Support- Assist SE Missions Elders on needed information, reports, connections

Partner Engagement

  • Communications- Manage newsletters and updates
  • Scheduling- Manage partner visits to Southeast, receptions, and SE Missions Director connections with SE partners
  • Podcast- Scheduling of interviews, manage contractors, etc.

Grant Management

  • Process- Manage grant process (online forms, routing sheets, CRM entry, reports, etc.)
  • Communications- Manage grant communications (notifications to partners, SE Missions staff, and committee members)
  • Reporting- Coordinate with financial managers to create monthly and annual reports
  • Financial- Manage wire request and Bill.com entries
  • Conflict- Review and manage any conflicts or known redundancies in grant requests

Project Management

  • Project Life Cycle- Track SE Missions projects from start to finish, project flows, weekly/annual, reporting, workback schedules,
  • Software- Manage Monday.com accounts (SE Missions and GMHC)
  • Dashboard- Managing Dashboard + Metrics for SE Missions projects
  • Assign Tasks- Managing Task Assignments for SE Missions projects/accountability + follow up with task owners/task management reporting/task delegation
  • Team Coordination- Cross collaboration on cross-team projects
  • Evaluation- Reviewing + assessing project post-mortem

Our Requirements

  • College degree
  • Working experience in Project Management and Administrative Support
  • Church/Ministry experience preferred
  • An engaged member of Southeast Christian Church or willingness to become one who supports our statement of faith, submits to the leadership established by the church, and lives out our church mantras in tangible ways.
